SCCDP Annual Conference – Terms and Conditions
By registering for and attending the SCCDP Annual Conference, you acknowledge and agree to the following terms and conditions:
1. Financial Responsibility
SCCDP and SCACTE are responsible for covering a range of financial obligations associated with the annual conference. These include, but are not limited to: hotel room blocks, contracted food and beverage minimums, conference center rentals, audiovisual equipment, speaker fees, liability insurance, and other expenses required to host a high-quality event.
Because these commitments are made well in advance and are contractually binding, it is essential that attendees provide payment for the conference in a timely manner. Timely payments ensure that SCCDP can meet its financial responsibilities and continue to offer a professional and meaningful experience for all participants.
2. Liability Waiver
SCCDP and SCADTE are not responsible for any injuries, illness, lost or stolen items, or other incidents that may occur as a result of participation in the conference or while staying on or visiting the hotel property. This includes but is not limited to:
Bodily injury
Illness (including communicable diseases such as COVID-19)
Property damage or theft
Medical emergencies
Acts of nature or unforeseen incidents
All attendees are responsible for their own personal safety, belongings, and actions throughout the duration of the event.
3. Embassy Suites Evening Reception Disclaimer
While we enjoy having themed nights, please note that SCCDP is not affiliated with or responsible for the standard evening receptions provided by the Embassy Suites. Any food or alcohol consumption is at the sole risk of the individual. SCCDP assumes no liability for any injury, illness, or death that may result from the consumption of alcohol or participation in any activities occurring during the hotel’s public reception.
Please drink responsibly and be mindful of your health and conduct during your stay.
4. Early Departure Fee
If a guest who has booked a room under the SCCDP Conference Room Block checks out prior to their reserved checkout date, the hotel may charge an early departure fee (currently $157.00) to the guest's individual account.
To avoid this fee, guests should inform the hotel at or before check-in of any changes to their intended length of stay.
5. Code of Conduct
All attendees are expected to maintain a professional and respectful demeanor during all conference-related activities. SCCDP reserves the right to remove any attendee without refund if they are found to be disruptive, disrespectful, or in violation of hotel or conference policies.
6. Photography and Media Consent
By attending the SCCDP Annual Conference, you consent to be photographed, filmed, or recorded for use in future SCCDP and SCACTE promotional materials, including websites, newsletters, and social media channels.
7. Cancellation Policy
There will be no refunds after November 21, 2025.
All cancellations made before November 21, 2025, will be refunded minus a $25.00 administrative fee to help offset expenses incurred through the hotel contract and planning commitments.
SCCDP and SCACTE are not responsible and cannot provide refunds for cancellations due to circumstances beyond their control, including but not limited to inclement weather, natural disasters, school closings, transportation delays, or personal emergencies.
8. Conference Affiliation
Only events, sessions, and functions listed in the official SCCDP Annual Conference program are considered affiliated with the conference. All other activities, including hotel-hosted receptions and third-party events, are separate and not the responsibility of SCCDP or SCACTE.
